Department: Darlington sites

Responsible to: Centre Manager

Full time role: 37 hours a week – Monday to Thursday 8.30am-5pm and Friday 8.30am-4.30pm (some work outside these hours is required for events, call outs and maintenance).

Salary: £23088 p/a FT plus benefits including pension, healthcare, cycle scheme and parking.

Based: Darlington – Business & Innovation Central. (There may be a requirement for travel to head office in Sunderland or other sites within the region when required.)

Background

The North East Business & Innovation Centre is an established, not for profit enterprise agency and offers a range of business support and property services throughout the North East region. Working with a broad range of clients from aspiring entrepreneurs to public sector bodies, the BIC is dedicated to supporting an entrepreneurial culture in the region.

We are seeking to appoint a highly motivated individual either with existing experience in facilities and operations or someone who is keen to develop and learn more in this area. The successful candidate will have a positive mindset and be responsible for assisting in the smooth running of the Business Centres and their own department, whilst supporting the wider team. This is a varied role working in serviced business premises, conference facilities and co-working spaces.

Job Summary

The Facilities & Operations Assistant will be responsible for assisting the existing team with all aspects of the site facilities and operations ensuring effective efficient day to day operation.

A hands-on role, the successful candidate will help manage the building infrastructure to the highest of standards, within set financial targets, statutory regulations and health and safety requirements.

Client experience is vital to our business and this role will also include maintaining existing client relationships, promoting our products to new clients, and ensuring we offer a consistently great service across our office/lab, co-working and meeting room spaces.

Duties and Responsibilities

  • Help deliver the objectives and outputs as detailed in the operational plan, emphasis on occupancy and financial targets agreed with Centre Manager
  • Provide monthly, quarterly, and annual stats as required by the Centre Manager.
  • Proactively assist in the marketing of all NEBIC sites and services (focus on Business & Innovation Central) in conjunction with the marketing team and external suppliers helping identify new opportunities to generate sales.
  • Help plan and support internal and external events, including collating details for social media platforms.
  • Work closely and effectively with all BIC departments to utilise back-office services such as, HR, Finance, CRM system etc.
  • To be one of the main points of contact within the site team for enquiries, clients, contractors, and the public. Based on reception the role will be client facing and involve administration across several systems along with practical service delivery including telecoms, ICT, mail, and meeting rooms
  • Ensure BIC achieve high customer satisfaction levels, maintaining their exemplary reputation and quality standards.
  • Helping to manage the building to the highest possible standards. Ensuring Health & Safety requirements are complied with, and maintenance plans followed, recorded, and delivered within agreed financial levels.
  • Support the manager and team in planned and emergency maintenance works, assist in co-ordination of subcontractors and small internal works on site.
  • Ensure all activity is carried out in conjunction with agreed processes and policies.
  • General staff cover within the department, key holding, and call out responsibilities (which may include other sites)

Desirable Key Skills & Qualifications (although not essential)

  • Experience in Facilities and Operations – ideally with the ability to manage a variety of priority tasks and customer enquiries.
  • Exceptional customer service and communication skills
  • Competent user of ICT packages such as Microsoft Office
  • Positive and proactive approach to tasks
  • Strong team ethic, working well with others and showing respect an support for all colleagues.

Qualifications required:

  • Good level of education including Level 2 or above GCSE Mathematics and English
