Receptionist / Administrator

Department: BIC Services      

Responsible to: Centre Manager             

Salary: £13,728.00 pro rata

Working hours: 22 hours per week 12.30pm – 5.00pm Monday – Thursday and 12.30pm – 4.30pm Fridays

The North East Business and Innovation Centre is an established, not for profit enterprise agency and offers a range of business support and property services throughout the North East region.  Working with a broad range of clients from aspiring entrepreneurs to public sector bodies, the BIC is dedicated to supporting an entrepreneurial culture in the region. 

We are seeking to appoint a highly motivated individual with a proven track record in Customer Service.  Working as part of a busy team within the BIC this is a varied role. The BIC is a busy environment offering serviced premises, conference facilities and business support to the 140 companies on site and ad-hoc visitors.

The successful candidate will be responsible for contributing to the smooth running of the department and to support the wider team.  Excellent communication skills are essential for this role as the successful candidate will have regular face to face contact with tenants and clients.  A good team ethos is also essential for this small but busy team along with the ability to be flexible and occasionally working at the other BIC Centres. 

Duties and Responsibilities:

  • Provide a professional call handling service for tenants and staff ensuring all messages are forwarded as and when received
  • Meet and greet all visitors to reception, ensuring they are directed to the correct person or location
  • Ensuring reception and site signage is kept up to date
  • Daily key register check, including following up missing keys
  • Handling of incoming mail/parcels requiring signatures and using the electronic mail tracking system
  • Franking all outgoing mail on behalf of staff and tenants including international, signed for and specials
  • Create memo regarding miscellaneous post, distribute and update system
  • Input of postal reports
  • Issue keys, fobs & access cards when requested, updating the relevant systems
  • Monthly safe key count, producing a report to investigate the location of missing keys
  • Prepare post ducket labels and issue to BIC Services team for new tenant inductions
  • Update CRM system with changes to client information
  • Provide ad-hoc services to clients, including: faxing, printing, photocopying, scanning and laminating, adding the charges to Excelpoint
  • Ordering stationary as and when required
  • Assist with all room hire duties, including taking bookings, setting up rooms, ordering catering, organising IT, raising purchase reqs, invoicing clients, updating the CRM system and greeting clients and visitors
  • Knowledge of air con system for turning on and off when requested
  • General cover within the department for sickness and holidays

Key Skills/Qualifications:

  • Excellent communication skills.
  • Ability to multitask and work under pressure
  • Excellent interpersonal skills and telephone manner
  • IT literate, essentially:  Word, Excel
